We do not currently use website analytics or advertising tracking tools.

  • If you become a customer, we process information necessary to prepare quotes, fulfil orders, invoice you and receive payment, including the information described above together with transaction and payment records.

We rely on the following lawful bases under POPIA, depending on the situation: your consent (which you give when you submit an enquiry or quote request), the performance of a contract with you, compliance with a legal obligation, and our legitimate business interests in operating and growing our business.

5. Third parties and service providers

We use trusted third-party service providers (“operators” under POPIA) to run our business. These providers process personal information on our behalf, under our instructions, and are contractually required to protect it. They include:

Hosting and infrastructure

  • Our website and management systems are hosted using Vercel and Supabase.

Email delivery

  • We use Resend to send transactional emails (such as quote confirmations and notifications) and Zoho for business correspondence.

Accounting integration — Intuit QuickBooks

  • We use Intuit QuickBooks for accounting. When you become a customer and we invoice you, we share and synchronise a limited set of your information — your name and contact details as a customer record, and the associated invoices, receipts and payment records — between our management system and QuickBooks.
  • This is done solely to prepare and manage invoices, record payments and maintain accurate accounting records.
  • We do not sell, rent, or share your QuickBooks-related data with any party for marketing or any purpose other than the accounting and business functions described here.
  • Intuit processes this data in accordance with its own privacy policy, available at https://www.intuit.com/privacy/.

Communications

  • We may communicate with you via WhatsApp. Messages you send us through WhatsApp are subject to WhatsApp's own privacy terms.

We do not otherwise sell your personal information to third parties.

6. Cross-border transfers

Some of our service providers (including our hosting, email and accounting providers) may store or process personal information on servers located outside South Africa. Where personal information is transferred outside South Africa, we take reasonable steps to ensure it receives an adequate level of protection consistent with POPIA, including through the contractual terms these providers are bound by.

7. How long we keep your information

We keep personal information only for as long as necessary for the purposes described in this Policy, or as required by law.

  • Enquiries and quote requests that do not result in a project are retained for a reasonable period to allow follow-up, and then deleted or anonymised.
  • Customer, transaction and accounting records are retained for the periods required by South African tax and company law.

8. How we protect your information

We take reasonable technical and organisational measures to safeguard your personal information against loss, unauthorised access, disclosure or misuse. These include access controls, secure hosting, encryption of data in transit, and limiting access to personal information to those who need it to do their work.

While we take security seriously, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

You have the right to:

  • Request access to the personal information we hold about you
  • Request that we correct or update inaccurate or incomplete information
  • Request that we delete or destroy your information where we are no longer entitled to keep it
